Even with robust processes in place, mistakes can happen. That’s where Parent Hub’s Message Archiving comes in. From a simple typo to attaching the wrong document, Message Archiving has got your back.
How does it work?
Archiving a message removes it from the app, so parents can no longer see it. It isn’t deleted – and you can still view it if you need to – but once it’s archived, it’s permanently hidden from parents.
Which types of message can I archive?
- Channel posts
- Chat messages
- One-way direct messages
- Attendance alerts
- Slip messages
To archive any of these types of message, simply click the Actions button > Archive message
Viewing archived messages
Sometimes you may need to view messages you’ve previously archived – for example, to check whether they were read, and if so, by whom.

Set your filter to Archived > Include and Apply
Channels
Simply tick the Show archived checkbox on the right-hand side:
Any archived messages will have a red ARCHIVED block in the top-right corner:
Using the same Actions button, you can also access Edit and Resend , which lets you copy the archived message and quickly make changes, so fixing that typo takes just seconds instead of minutes.
Chats
Deleted chat messages look a little different and are visible without you having to filter in, or tick to include:
Frequently Asked Questions
What about text messages and emails? Can these be archived too?
The short answer is no – SMS and email technology simply don’t allow messages to be retracted. However, if your message included an attachment, then the link to the Message Portal will no longer work once a message is archived. So when a parent clicks the link in a text message or email to view the attachment, they’ll see this instead:
If I filter in or tick to show archived messages, can parents see them again?
No – revealing archived messages is just for your internal use. For example, you may want to use Edit and Resend to quickly send a corrected version of the message, or you may need to check how many people had read the message before it was archived.
How fast is archiving?
Archiving happens the moment you click to confirm, and the message is removed from parents’ phones the next time they open the app.
Which staff members can see archived messages?
The same staff members who can see regular messages. For example, if a staff member has permission to view all One-way Direct Messages, then they can also view archived One-ways.
Which staff members can archive messages?
Anyone with permission to manage that type of message. For example, staff with permission to manage all One-way Direct Messages can archive other people’s One-ways as well as their own.
I accidentally attached a confidential file that needs fully removing, so even my colleagues can’t see it.
