To create and manage message templates, you'll need the Admin user role. For all other users, please check out this guide on how to apply templates.
Do you find yourself writing similar messages on a regular basis? Or sending the same message each week, but to different parents?
If so, Message Templates could save you lots of time:
- Build up a bank of regular messages.
- Favourite your most-used templates for instant access.
- Share templates with other users.
- Search by template name, title, and message content.
To get started, just click Select template when writing your next message, and Create New to make a new template based on the message you’re writing.
Each area of Parent Hub – Channels, One-way Messages, Attendance Alerts, Slip Messages and Staff Messages – has its own templates.
When creating a new template, you can choose which areas it applies to. Please note: if you include Merge Tags in your template, it can’t be used with Channels or Staff Messages, as these areas don’t support Merge Tags.
How do I find my templates?
Favourite templates show each time you click Select template, and you can also search for a template by name, title and message content.
To help you find the exact template you’re looking for, Advanced Selection lets you see the template in full before you select it:
To manage templates across all message types, head to Admin > [Workflow Hub] Templates. Here you can also edit, delete or duplicate templates. Found someone else’s template that you’d like to use more often? Click to make it a favourite of yours.
How many templates can I create?
Users on any plan can create message templates. To create an unlimited number, you’ll need to be on a plan that includes the Shortcuts & Automations feature set. Click Admin > Feature Sets to see which features your school has included, and any additional features available on upgrade. Please read How to check which features your school account has for more on this.
