Maintaining compliance with evolving data protection legislation means staying on top of the latest changes and advice, as well as keeping a record of the actions you take to help stay compliant.
At Parent Hub, we’re constantly at work to maintain the high standards of data protection you and your parent community expect. As part of this, we also look for ways we can make your lives easier and support you to do the same.
Did you know?
Under GDPR legislation, it is good practice to retain messages and content sent to parents for no longer than you can reasonably justify.
Parent Hub is the only parent communications provider in the UK that has automated this task.
Starting this year, each August our service will check to see how many academic years’ worth of messages you’d like to keep, and permanently and securely delete anything that falls outside of this.
What do I need to do?
- Automatic message deletion is available to all integrated schools. For Schools on our Free plan, messages will be securely deleted after 1 full academic year.
- Those with the Shortcuts & Automations feature set - included in Parent Hub Plus and Pro - can choose to set their message retention to 1, 2, or 3 full academic years. By default, message retention is set at 2 academic years.
To check it out, head to Admin > Automations.
Once you’ve saved your preference, you can record it in your compliance log. Our system runs automatic message deletion every year on 1st August. Just one more way in which Parent Hub supports you on your GDPR journey!
What if we want to retain messages for longer than 1 academic year?
The ability to manage your message retention period is available on our premium plans as part of Shortcuts & Automations
