N.B.: In order to manage and assign roles and permissions at your school, you'll need to be an Admin user.
What is a role?
Permissions control what a staff member can and can't do - for example, permission to start a chat, or to view one-way messages sent by anyone in your school. We cover these in more detail here.
A role is essentially just a set of permissions.
Out of the box, Parent Hub comes with two roles: Admin and Basic.
Admin users have full access to all parts of the platform. There is no limit to the number of Admin users you can have, but with great power comes great responsibility! For security, you should try to restrict admin-level access unless it’s needed.
Basic users can create their own channels, post messages in other channels where they are a contributor, and apply templates created by Admin users.
Custom roles lets you create roles unique to your school. For example, you could create a role called "Teacher", which lets people send one-way messages and start chats, but not change SMS or email settings at the point of sending.
Creating custom roles
To create a new custom role, head to Admin > Staff Accounts and click Add Role
Give the role a name, and select which permissions it should include.
Assigning roles
You can assign roles to existing staff members, and when inviting new staff or approving their request to join your school.

For example, assigning a new user the role of Teacher means they can do everything included in the Teacher role.
Editing additional permissions
If you need to grant someone extra permissions on top of those included in their role, click Actions > Edit Additional Permissions for that particular staff member.

Can I change someone's role later?
Yes - you can change someone's role at any point. Just bear in mind that changing someone's role also resets any additional permissions you may have given them. -
What happens if I delete a role?
Anyone who was assigned that role simply reverts to Basic. -
Why can't I remove a permission that's included in someone's role?
Roles specify the minimum level of access. You can give someone extra permissions but you can't take away anything included in their role. If you need to reduce someone's permissions, start by assigning them a lower role, and build up from there. -
Can more than one person be assigned the Admin role?
Yes - there's no limit to the number of Admin users you can have. However, best security practice is to assign the lowest level of access people need to perform their tasks. -
Why can't I edit an Admin user's additional permissions?
Admin users can already do everything! There is no higher level of access.
