Attendance Alerts is a feature. Try free for 14 days, or upgrade to an annual plan.
Step 1 - Start your free trial or purchase an annual plan
You'll notice an Attendance menu in the navigation bar at the top of the Portal. Click 'Send Alert' to access the Attendance Alerts feature.
Step 2 - Choose an AM / PM session
The toggle switch defaults to the current session. If you want to switch sessions, just click the switch.
Step 3 - Click 'Check Absences' to sync live attendance data from your MIS
A count of students marked absent (N, G or O) in this session's register will appear in the stats panel.
If you see an error, please make sure you've granted Parent Hub permission to access attendance data in your MIS. For RM Integris users, please click:
- Modules > System Management > RM Integris Datashare > Parent Hub (attention required) > Grant Access (you'll need to check the Ts & Cs, of course!)
Step 4 - Choose which students you'd like to include in your message.
Pick 'all absent' or choose a specific absence code. When you click 'Apply', these students will be added to your list of recipients, together with their absence code.
Step 5 - Type your message, using Merge Tags to personalise
Once you send your message, you'll see the 'Alerts sent to' stat update.
Step 6 - Send a follow-up message if necessary
When you receive an absence report, or if the student arrives late, you may want to send a follow-up message. Click 'Check Absences' to sync the updated attendance data from your MIS.
You can then change the message type to 'follow up' and select from the updated absence codes, e.g. U (late after registers closed).
For parents to be able to submit absence reports in the app, please make sure you've entered your Attendance Officer's email address in the Attendance Settings page.
